Customer Service- Data Entry - Appointment setter PART TIME

Essential Duties & Job Responsibilities • Completes a broad variety of administrative tasks including managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and very detailed events, meetings and sales presentations • Meet ever-changing and multiple deadlines, managing day-to-day workflow... • Plans, coordinates and ensures all schedules are correct and updated daily • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, must have excellent writing skills • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. • Performing personal errands as required. • Communicate and interact effectively and professionally with diverse populations, individually or as a team member. • Opening, sorting, and distributing correspondence, including email, faxes and regular mail. • Attend meetings and discussions, as required. • Keep all pertinent information such as schedules, speaking opportunities, staff issues, and track needs, priorities, and follow-up of action points. • Coordinate and manage special projects, including working collaboratively with staff to assure projects meet deadlines. • Ensure staff is prepared for upcoming appointments by gathering materials necessary for each meeting. • Collect and assemble information for presentations, projects and strategic planning. • Prepare, edit and draft presentations. • Collect data and edit documents for accuracy and input data entry in a timely manner. Qualifications • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. • Very strong interpersonal skills and the ability to build relationships with clients and marketing staff • Detail oriented with strong proofreading skills. • Expert level written and verbal communication skills. • Demonstrated proactive approaches to problem-solving with strong decision-making capability with minimal guidance in a quickly changing environment. • Emotional maturity. • Highly resourceful team-player, with the ability to also be extremely effective independently. • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. • Basic accounting knowledge. • Familiarity with Google Spreadsheets, Excel and Apple Software. • Self-Motivated, with flexibility to multitask and prioritize in a fast-paced environment. • Use discretion and adhere to all corporate, legal, and regulatory guidelines. • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment. • Forward looking thinker, who actively seeks opportunities and proposes solutions. Education Requirements: • Bachelor’s degree required or four or more years of experience assisting C-Level executives. • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms. Working Conditions & Physical Requirements: • Ability to safely and successfully perform the essential job duties of this position, with or without reasonable accommodation. • Ability to meet aggressive deadlines as needed with minimal supervision. • Occasionally lift medium to heavy objects.
