The Lien Perfection Specialist is responsible for ensuring the accurate and timely perfection of liens on vehicle loans by managing documentation and compliance processes, coordinating with internal departments and external vendors to secure loans with valid liens. Responsibilities - Manage the lien perfection process for vehicle loans, ensuring that all lien documentation is properly filed with the appropriate authorities (e.g., Department of Motor Vehicles, state agencies) in a timely manner - Review loan files to verify that all necessary documentation is complete and accurate, including title information, lienholder details, and borrower signatures - Coordinate with internal teams such as loan servicing, funding, and compliance to ensure that lien perfection is carried out correctly at each stage of the loan lifecycle - Communicate with third-party vendors, including dealerships, title companies, and government agencies, to facilitate lien filings, corrections, and the resolution of any title-related issues - Resolve discrepancies or issues related to lien perfection, including missing documents, incorrect title information, or incomplete filings, working with relevant parties to ensure timely resolution - Ensure compliance with state-specific lien perfection laws, including legal requirements for filing liens, amendments, and releases, and keep up to date on changes to regulatory requirements - Track and monitor the status of lien filings to ensure that liens are perfected within required timeframes, escalating any delays or issues to management as needed - Provide regular updates and reports on lien perfection progress, identifying any risks or potential delays in the process and proposing solutions to address them - Handle the preparation and filing of lien release documents upon loan payoff or vehicle repossession, ensuring all necessary steps are completed to release the lien and transfer title ownership - Assist in audits and compliance reviews by maintaining detailed and organized records of lien perfection transactions, including correspondence, filings, and status updates - Participate in continuous improvement initiatives by identifying and recommending process changes to enhance the efficiency, accuracy, and compliance of lien perfection operations - Maintain an in-depth understanding of lien laws, regulations, and industry best practices to ensure the company’s lien perfection process remains compliant and effective - Provide support and guidance to team members, assisting with complex lien issues and offering solutions to improve operational processes - Other duties as assigned Skills - High school diploma or equivalent - 1+ years in auto finance operations - Previous experience in lien perfection, title management, vehicle financing, or related fields, with a strong understanding of lien laws and vehicle title processing - Knowledge of state-specific lien perfection requirements and regulations, including the ability to navigate complex legal processes and document filings - Strong attention to detail, with the ability to review and process lien documentation accurately and efficiently - Excellent communication skills, with the ability to coordinate with third-party vendors, regulatory agencies, and internal teams to resolve issues and ensure smooth lien processing - Strong problem-solving skills, with the ability to identify discrepancies or issues in lien filings and find timely solutions - Proficient in Microsoft Office Suite (Excel, Word, Outlook) and lien management or title processing software - Ability to handle multiple tasks and manage competing priorities in a fast-paced environment, ensuring deadlines are met and compliance is maintained - Ability to work independently and as part of a team, taking initiative to resolve lien perfection issues and improve overall processes - Strong organizational skills, with the ability to maintain accurate records and track the status of lien filings across multiple transactions - Knowledge of data security and confidentiality practices when handling sensitive customer and loan information - Ability to stay up to date with industry regulations, changes in lien perfection laws, and best practices to ensure compliance with evolving requirements Company Overview - Exeter Finance is a finance company that deals with automotive financial services.
