The Opportunity
We are seeking an experienced Customer Service Representative to join our team. As a CSR, you will be the face of arenaflex, providing exceptional customer service to our clients, answering phones, responding to emails and texts, and taking care of all client needs. You will work independently with little or no supervision, be well-organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people.
Key Responsibilities
- Answer phones, respond to voicemails, reply to emails and text messages, and provide client services to take care of all client needs.
- Coordinate with teammates to ensure organizational effectiveness, efficiency, and safety, ensuring administrative procedures are followed.
- Help with all aspects of customer service, including answering phones, sales on the showroom floor, and task completion.
- Ensure all relevant and pertinent information is collected, verified, and documented and forwarded to the Scheduler for date assignment and scheduling.
- Responsible for all contact requests, website user requests, work orders, and customer emails that come into the office email box, voicemails, and text messages.
- Ensure client service sales, complaints, and issues are addressed via text, phone, email, or in person are handled or forwarded to the appropriate employee.
- Help showroom guests and salespeople as needed.
- Understand and comply with the arenaflex Operations Manual (DOM).
- Data entry into customer information and created jobs in Service Fusion per DOM.
- Forward customer call sheet to the scheduler after completing.
- Ensure that a credit card is on file for all bill from office appointments.
- Call customers that have not confirmed their appointments via text daily.
- Text the technicians to let them know their schedule has been confirmed at the end of each day and verify Techs received.
- Make 12-month service reminder and quote follow-up calls.
- When working Saturdays, let all customers know that the scheduler will reach out to them on Monday morning with confirmed appointment date.
- Allocate available resources day-to-day to ensure successful task performance.
- Ensure security, integrity, and confidentiality of data.
- Always follow policies & procedures to improve operational efficiency.
Essential and Preferred Qualifications
We are looking for a candidate with the following qualifications:
- 3-5 years of verifiable client service experience with proven critical thinking aptitude.
- Excellent verbal and written communication skills.
- Excellent active listening skills.
- Hands-on experience with office machines (e.g., fax machines and printers).
- Confident, friendly, and outgoing personality.
- Ability to anticipate/determine customer needs.
- Organization is an absolute must.
- Ability to multi-task.
- Great attitude in a fast-paced environment.
- Ability to adapt to change (company is rapidly growing).
- Problem-solving skills.
- Attention to detail, problem-solving, excellent written and verbal communication skills.
